Terms of service
IonPass · Blok Consulting · version of 2026-10-27
1. Who we are
IonPass is a service of Blok Consulting, Boomlaarstraat 75B, 2500 Lier, Belgium, enterprise and VAT number BE 0767.642.063 (“we”). You can reach us at legal@ionpass.eu or +32 3 888 65 58, and our support at support@ionpass.eu.
2. These terms
- These terms apply between us and the business that opens a IonPass account (“you”). IonPass is for businesses only, not for consumers. Whoever opens an account accepts these terms on behalf of their business and confirms they may do so.
- The data processing agreement is part of these terms. Where the two differ about personal data, the data processing agreement applies. The privacy policy explains how we handle personal data for our own purposes.
- Your own general terms and conditions don’t apply to IonPass.
3. The service
- IonPass lets businesses publish battery passports for their products. People open them by scanning a code printed on the product or its packaging. You manage them, and make the labels to print, in the dashboard at https://app.ionpass.eu.
- We keep improving IonPass. If a change takes away something your plan includes, we tell the owners at least 30 days ahead, and you can cancel before it applies.
4. Accounts and access
- An account belongs to your business. Its owners decide who has access and with which role, and you’re responsible for what the people you give access do with it.
- Everyone signs in with their own email address. Keep access to that mailbox and to your passkeys secure, and tell us at once if you think someone has access who shouldn’t.
- Our support only signs in as one of your users when that user or an owner asks, for at most an hour. Each such session and everything done in it appears in your account’s log.
5. Your content
- What you put in IonPass stays yours.
- You’re responsible for it being correct, complete and lawful, including the information the law requires on your products and labels.
- The standard ingredients and translations, the label checklist, the checks on printed text and the print sizes we offer are aids. They don’t replace your own check, and they’re no promise that a product, page or label complies with the law. Check them before you publish or print.
- You allow us to store, copy and process your content to provide IonPass, and to show your published pages, including in the backup copy described in section 8, for as long as these terms keep them online.
- A published version never changes. A correction is a new version.
6. Your pages stay online
- Printed codes have to keep working. A battery’s passport stays online until the battery is recorded as recycled, also after you stop selling its model, since the Batteries Regulation only ends a passport then.
- If you cancel, you can no longer add battery models or batteries. You can still edit, publish and recall, and record the status and state of health of your batteries, and their passports stay online for that period.
- The restricted parts of a passport are shown only to people you give access to, through a link that expires, and to market surveillance authorities we give access to. Deciding who has a legitimate interest is yours.
- You can export your whole account at any time, in an open format (section 7).
- An owner can ask us in writing to delete the account earlier. We first warn that the legal obligation to provide the information remains yours, and offer an export. A paid plan has to be cancelled first. We delete the account 30 days after the request; until then, you can withdraw it. Deleting removes the account’s products, pages, backup copy, files and logs. We keep a record that the account was deleted, when and at whose request. The people in the account keep their own user, which each of them can delete in their profile.
7. Switching to another provider
- You can move to another provider or to your own systems at any time, without notice period and without switching charges.
- The account export holds everything you can take with you: every product with its draft and every published version, lots, recalls and messages on the scan page, to-dos, label checklist ticks, the scan page style, trade names and the account’s log, as JSON files in one ZIP, together with the files we keep for you: the logo, the original import files and the label and technical sheet PDFs you downloaded. The product list is also available as a spreadsheet (.xlsx or CSV) that can be imported again.
- An owner can redirect every printed code to the new provider’s address in the dashboard (Settings, Export). From then on, every scan opens the same code there, and printed labels keep working. The owner can stop the redirect at any time.
- For 30 days after you tell us you’re switching, we answer your questions about the export and the data in it. Your account keeps working in that time, and for at least 30 days after you ask us to delete it, so you can always fetch your data again.
- When you tell us the switch is complete, these terms end for your account. Your published pages stay online as section 6 says, unless you ask us to delete the account.
8. If we stop
Every night we copy all public pages to a second European provider outside our main hosting, so that printed codes can keep working without us. If we ever stop the service, we tell you at least twelve months ahead and give every customer a full export.
9. Plans, prices and payment
- The plans, their limits and their prices are on the billing page.
- Paid plans are sold through Stripe, which acts as reseller (merchant of record): Stripe charges the price, adds VAT where it applies, issues the invoice and handles questions about payments and refunds, under its own terms for buyers. These terms govern IonPass itself.
- Paid plans are paid monthly or yearly in advance and renew for the same period until you cancel. You can cancel at any time on the billing page; the plan then ends at the end of the period you paid for. Periods already started aren’t refunded, unless the law requires it.
- If a payment fails, Stripe tries again. If it keeps failing, the plan ends as if you had cancelled it.
- We announce price changes, and changes to the limits of a plan, at least 30 days before the period they apply to. You can cancel before then.
- Limits only stop new things. If you go over a limit or move to a smaller plan, what you already published keeps working and can always be recalled.
10. Fair use
Don’t use IonPass for anything unlawful or misleading, don’t put special categories of personal data (such as health data) in it, don’t try to get around its security or limits or to reach other accounts, and don’t resell it without our agreement.
11. Reports of unlawful content
- Anyone can report a public page they believe is unlawful to legal@ionpass.eu, with the page’s address and the reason. We look at every report ourselves, without automated decisions, and tell the person who reported what we did.
- If we take a page offline or restrict an account because of a report or because it breaks these terms, we tell the owners why and how to object. You can object by replying; someone who didn’t take the first decision looks at it again where we can.
- legal@ionpass.eu is also our point of contact for authorities and for users, in English, Dutch or French.
12. Suspension
If an account seriously breaks these terms, we may suspend it or a user in it after telling the owners and giving them reasonable time to put it right, or at once when that’s needed to stop harm or abuse or when the law requires it. Published pages stay online during a suspension, unless they are the problem.
13. Availability and support
- We do our best to keep IonPass available at all times, but we don’t guarantee it. We plan maintenance so that public pages stay online.
- Support is by email at support@ionpass.eu, or with “Report a problem” in the dashboard.
14. Confidentiality
Each of us keeps what we learn about the other that isn’t public confidential, and uses it only for these terms. Your drafts and everything you haven’t published count as confidential. This doesn’t apply to what is public or already known without a breach of these terms, or to what the law or an authority requires us to disclose.
15. Intellectual property
- IonPass, its software, design, standard texts and translations remain ours or our licensors’. While these terms apply, you may use them for your business.
- The labels, pages and exports you download are yours to use without limit, also after these terms end.
- If you send us suggestions, we may use them freely.
16. Liability
- We provide IonPass with the care of a diligent professional provider: we commit to our best efforts, not to a result.
- Our liability is limited to what you paid for IonPass in the twelve months before the event that caused the damage. We’re not liable for indirect damage such as lost profit, lost revenue or damage to reputation, nor for the content you publish and whether it complies with the law.
- If someone claims against us because of your content or your breach of these terms, you compensate us for the resulting damage and reasonable costs.
- None of this limits liability for intent, fraud or gross negligence, for physical injury, or any other liability the law doesn’t allow to be limited.
17. Force majeure
Neither of us is liable for failing to perform because of circumstances beyond our reasonable control, such as natural disasters, war, pandemics, government measures, large-scale failures of the internet or of energy, or attacks that reasonable security couldn’t stop. If that lasts longer than 60 days, either of us can end these terms in writing; sections 6 and 8 still apply.
18. Personal data
How we handle personal data is in the privacy policy. For personal data you put in IonPass, the data processing agreement applies.
19. Changes to these terms
- We only change these terms for a valid reason: a change in the law or its interpretation, a new or changed feature, security, or a change at one of our providers.
- When a change is in substance, we tell the owners of every account at least 30 days before it applies, by email and in the dashboard, where an owner accepts the new version for the account. If you don’t agree, you can cancel and end these terms before the change applies. A change that only benefits you, or that the law requires sooner, can apply sooner.
20. Duration and ending
- These terms apply from the moment the account is opened, for an indefinite period.
- You can stop at any time by cancelling your plan, and end these terms by switching (section 7) or by having the account deleted (section 6).
- We can end these terms if you seriously break them and don’t put it right within 30 days after we told you in writing, at once if it can’t be put right, or without reason with twelve months’ notice.
- Sections 6, 8, 14, 15, 16 and 22 continue after the end.
21. General
- We send notices by email to the account’s owners and in the dashboard; you send yours to legal@ionpass.eu.
- You may transfer these terms to someone else with our agreement. We may transfer them to a successor who continues IonPass under these terms, after telling the owners.
- If part of these terms is invalid, the rest still applies, and the invalid part is replaced by a valid one that comes closest to its purpose. Not enforcing a right doesn’t waive it.
- These terms, with the data processing agreement, are the whole agreement about IonPass. They’re written in English; a translation is for information only.
22. Law and courts
Belgian law applies. We first try to settle a dispute together; if that fails, it goes to the courts of Antwerp, division Mechelen.
